Put multiple members on hold at once

This article explains how to put all, or some, of your members on hold at once using the Mass Holds Tool

Requirements:

  • GymMaster version v1390 or higher
  • Advanced Configuration option "Mass Holds Tool" enabled

What is a membership hold?

A hold is something placed on a membership that prevents it from being used, and can optionally prevent payment being required. While a membership is on hold, members cannot use it to access your facility, or make bookings.

For recurring memberships, the value of the membership can be adjusted so that members don't pay for time they aren't able to use their membership. For more on this, see the article on Membership Prorata.

For fixed term memberships, the end date can be extended so that your members get to use your facility for the agreed amount of time, e.g. 12 months.

When to do a mass hold

You can use the mass hold feature when you want to stop members from accessing your facility, but you don't want them to have to pay for that time. There's likely a number of scenarios that warrant considering a mass hold, but here are some of the common ones:

  • Your facility is moving to a new location
  • Your facility is going to be closed for renovations, or improvements
  • You're closing over a holiday period

How to add a mass hold

Once enabled, you'll be able to access the Mass Hold tool by navigating to Settings > Club Details > [Mass Hold]

To get started, click the [Add Mass Hold] button and then follow the wizard's steps:

  1. Select your members. Which memberships to put on hold? By default all are selected
  2. Select your hold dates and settings. When should the hold start / end, and how should we handle Prorata and bookings?
  3. Confirm the details. Make sure everything is correct

And you're done! Depending on how many members you've put on hold, the system may take some time to apply the hold to everyone, but we'll handle that in the background.

How to extended a hold, or end it early

If circumstances change and you need your hold to go a bit longer, or end a bit earlier, that's no trouble! It's easy to edit an existing mass hold by clicking the [View] option in your list of holds. Then at the top of the page, adjust your hold in the Hold Settings section. Use the [Update Holds] option to save your changes.

Some of my members weren't put on hold

GymMaster might not be able to put all your members on hold. If any members couldn't be put on hold, you'll see them counted in the "Failures" column of the Mass Holds list. [View] the hold, and scroll to the bottom to see a list of "Fail Reason". These members should be reviewed, and you'll need to decide what to do for them on a case-by-case basis.
