Facility access with a booking instead of a membership

By default, GymMaster requires members to have a membership to gain door access to your facility. However, it’s possible to configure your doors to grant access based on bookings alone, regardless of membership status.

This allows casuals (those without a membership) to access the facility, as long as they’ve made a booking on a resource you’ve approved for access.

Setup :

If you'd like to enable this kind of access, follow these steps:

  1. Navigate to Settings > Doors & Readers

  2. Click the [Edit] button for the door you'd like to configure

  3. Locate the Associated Resources section

In this section, you’ll choose which of your Facilities or Staff resources should grant access when bookings are made against them.

Once set, visitors with bookings for these resources will be granted door access, even without a membership.

The Resource Behaviour can be either:

  • Bookings Required: Only grant access to visitors if they have a booking on one of the listed resources.
    • This option will prevent members with memberships but no booking, as well as non-members without a booking, from getting access.
  • Booking Access: Grant access to visitors if they have a booking on one of the listed resources, even if they don't have a membership.
    • This option will not affect members with memberships.

Both of these options will allow visitors access without a membership, provided they have a relevant booking.

Example :

Let’s say you want visitors to gain access to your facility when they have a booking in the Spin Room.

You would configure the door’s reader as follows:

  • Associated Resource: Spin Room

  • Access Window: 10 minutes before the booking begins

This is useful for managing flow in and out of rooms, ensuring people only enter close to their session time and don't linger afterwards.
