This article explains how to put all, or some, of your members on hold at once using the Mass Holds Tool.
For holds on a single member, see our how to place a members membership on hold article.
Prerequisite
You’ll need to have the advanced configuration option "Mass Holds Tool" enabled.
What is a membership hold?
A hold is something placed on a membership that prevents it from being used, and can optionally prevent payment from being required.
While a membership is on hold:
Members cannot use it to access your facility
Members cannot make bookings
For recurring memberships, the value can be adjusted, so members aren’t charged for time they can’t use. See the article on Membership Prorata for more details.
For fixed term memberships, the end date can be extended, so members still receive their full entitlement (e.g. 12 months).
When to do a mass hold
Use this when you want to pause member access and stop billing at the same time. Common scenarios include:
You're relocating your facility
You're closing for renovations or improvements
You're closing over a holiday period
How to add a mass hold
Once the tool is enabled, go to:
Settings > Club Details > Select the club (if needed) > [Mass Hold]
Then follow these steps:
Click [+ Add Mass Hold]
Select your members
Choose which memberships to put on hold (all are selected by default)
Set hold dates and options
Choose the start and end dates
Decide how Prorata and bookings should be handled
Confirm the details
Make sure everything looks right
Once submitted, the system will apply the hold to all selected members. If it's a large group, this might take a bit of time—but it will all run in the background.
How to extend a hold, or end it early
If circumstances change, and you need the hold to go a bit longer, or end a little earlier, that’s no trouble.
You can edit an existing mass hold by:
Clicking [View] next to the hold in your list
At the top of the page, adjust your hold settings in the Hold Settings section
Click [Update Holds] to save your changes
Some of my members weren't put on hold
In some cases, GymMaster might not be able to apply a hold to every member.
If any members couldn’t be put on hold:
You’ll see a number in the Failures column of the Mass Holds list
Click [View] on the hold
Scroll to the bottom to see a list of Fail Reasons
These members should be reviewed individually. You’ll need to decide what action to take for each one on a case-by-case basis.
