Fitness Passport is a corporate health and fitness program used within NZ and Australia, that partners with employers to give staff access to a network of participating gyms and leisure facilities. Members gain flexible access to multiple facilities, which is valuable for those who travel, work across locations, or want variety in their training. Because payments are managed through payroll or employer arrangements, the process is simple and often perceived as better value.
Fitness Passport can introduce your club to a large pool of potential members who may not have considered joining independently. It increases foot traffic, improves facility utilization during off-peak times, and builds brand exposure within corporate networks. Some Fitness Passport users later convert into full-paying direct members if they prefer a single-club experience or want access to additional services not covered under the program.
How does it work with GymMaster?
For GymMaster clubs, Fitness Passport operates as an external membership source. Approved Fitness Passport members can be set up in GymMaster with the appropriate membership type or access permissions, allowing you to track visits, manage access control, and report on usage just like any other member. Check-ins, bookings, and attendance data are recorded in GymMaster, while billing is handled through Fitness Passport rather than your club.
How to connect FitnessPassport with GymMaster
You need to apply directly through Fitness Passport to become a Fitness Passport facility. Approval is subject to their coverage areas and employer demand. Once you're connected with Fitness Passport, complete the following steps in GymMaster.
Connect Fitness Passport
Go to Settings > Integrations
Find Fitness Passport and click Edit Integration
Tick Enable Fitness Passport
Enter your Site Token and Device Token (provided by Fitness Passport)
Optional Settings
Offline Check-ins
Allows access if your internet drops
Members can still enter based on their last successful check-in
Note: If their Fitness Passport is no longer valid, you may not be paid for that visit
Restrict to Membership Types (recommended)
Choose which membership types use Fitness Passport
Only these members will be validated at entry
If validation fails (or no ID is entered), access will be denied
If membership type restriction disabled:
Access is granted based on a roster instead
Members may bypass validation
Best used only if you are not managing these members with GymMaster memberships
Restart your Gatekeeper devices to complete set up. (required before check-ins will work)
Add Fitness Passport Members
To get started, simply open or a member profile in GymMaster and enter their Fitness Passport ID under Additional Details. You can click Check ID to validate it (optional), then assign them an access method like the app or a key fob.
How Check-ins Work
Members check in the same way as usual, using the app or their fob. GymMaster will automatically validate them with Fitness Passport in the background. If everything checks out, access is granted and the visit is recorded. If not, access will be denied.
If you’re checking someone in manually, make sure to use the Check in with Fitness Passport option so the visit is properly validated and recorded.
Migrating Existing Members
If you’re already storing Fitness Passport IDs, you can use the migration tool (if available) to bring them across. Otherwise, you can update member profiles manually.
There’s no need to report visits manually; everything is sent to Fitness Passport automatically at the time of check-in.
