Charging a Maintenance Fee at your gym is completely optional. If you choose to use it, you can decide which membership categories it applies to, and how often it is collected.
Manual Collection
If you prefer to handle maintenance fees manually:
Run a Report to find the members you wish to charge.
Add a One-Time Charge to all of them.
This method can work well if you:
Want to collect maintenance fees from all members simultaneously
Charge different amounts under different conditions
The downside is that you’ll need to schedule your own reminders to run the report, and apply the charge each year, quarter, etc.
Automated Collection
If you’d rather automate the process, you can use the built-in Maintenance Fee setting :
Settings > Club Details > Maintenance Fee > Enabled
Set the fee amount and the timing conditions.
For example:
A $60 fee can be charged 20 days after the member first starts their membership.
The charge only applies if the membership belongs to a category with maintenance fees enabled.
One year later, the same member will be charged again (if still active in that category).
This cycle will repeat each year on the same anniversary.
Membership Category Settings
To check if a membership category has the maintenance fee enabled:
Go to Settings > Membership Types > Categories.
Edit a Category.
Tick Maintenance Fee Enabled.
To link a membership type to a category :
Edit the membership type, and update the category.

To see when a member will next be charged :
Go to their Member Profile > Accounts and Billing tab > Debt Collection
