When setting up membership types and booking types in GymMaster, there are multiple layers of settings that determine whether a member is charged for a booking.
At the membership type level, you can set up benefits, such as free bookings or discounts, which apply depending on the membership’s configuration.
At the booking type level, when editing a class or service, you’ll find the Class is For section. This determines how the booking interacts with membership benefits.
For example, setting a Base Price here, creates a fallback price for members who don’t have a relevant benefit.
Investigating Why a Member Was Charged
To work out why a member has been charged for a booking, it’s best to work backwards from the booking itself.
Navigate to : The Member’s profile > Bookings
Find the booking in question.
Pro tip: Hover over the booking to see a tooltip, showing when and how the booking was created.
If a Benefit Was Applied
If an applicable benefit was used, the membership that covered the booking will be shown, and the price should match the expected amount based on that benefit.
If No Benefit Was Applied
If the member doesn’t have a relevant benefit for the booking type, the member casual rate will be used instead — this comes from the Base Price set on the booking type.
If the Membership Used column is empty, this can indicate that:
The membership was not current at the time of booking
There were no benefits available at the time of booking
The booking was made by a staff member, and the casual pricing option was selected
Clicking the pencil icon to the right can show if benefits are currently available to use. If so, you can use this to amend the booking, as long as it hasn't been checked in yet.
Note: You can use the calendar icon to navigate to the booking, and undo the check-in if needed.
