ClassPass can help fill empty class spots automatically, increasing utilisation without additional marketing effort. It exposes your club to a large new audience who may not have discovered you otherwise. Because bookings flow directly into your GymMaster schedule, manual admin is reduced. It can also function as a lead generation channel, giving you the opportunity to convert casual attendees into full members. The integration itself is simple to enable within GymMaster.
ClassPass works best if you have spare class capacity and want to increase exposure without increasing marketing complexity. It is most effective as a top-of-funnel channel, a way to bring new people into your space and convert them to full members.
For GymMaster users, the key advantage is automation. Once enabled, bookings flow straight into your schedule with minimal admin.
How It Works with GymMaster
Once connected, existing ClassPass users will be able to view your GymMaster classes and book directly through the ClassPass app, even if they are not members of your club. This expands your reach and promotes your classes to a wider audience of potential members.
When a booking is made through ClassPass, a prospect profile is automatically created in GymMaster and the person is added to the class schedule alongside your members. Their profile includes an icon identifying them as a ClassPass booking.
To prevent duplicate communications, ClassPass users are not imported with an email address or phone number. Booking confirmations and cancellations are managed through ClassPass. If a cancellation is made in GymMaster, it will not sync back to ClassPass
Member Access
ClassPass bookings do not automatically include door or access permissions.
ClassPass users cannot access secure doors by default.
Your facility must be staffed to allow entry where required.
If you'd like to offer door access, you can manually set this up with a key fob, Bluetooth, or another method, just like you would with a casual member
Note Booking Sync Limitations
There is no data sent from GymMaster back to ClassPass. This means;
Check-ins at your facility are not reported to ClassPass
All cancellations must be completed within ClassPass (member via app, staff via ClassPass dashboard)
Cancellations processed in GymMaster will not update ClassPass
Setting up ClassPass
1. Align with ClassPass then Integrate with GymMaster
Sign up with ClassPass to become a ClassPass Partner.
Once complete, enable the integration in GymMaster via Settings > Integrations > ClassPass
Click Get Started > Enable Connection to generate your Partner ID.
If you operate multiple clubs, select the club to connect.
Provide your Partner ID and Venue ID to ClassPass.
2. Set up Classes in GymMaster
Once your integration is setup, make sure settings within GymMaster allow casual members to book into your classes.
First, enable the Allow non-members to book online setting found within Settings > Member Portal > Bookings
Next, select and enable classes eligible for casual bookings;
ClassPass availability mirrors your GymMaster class configuration.
Any class available to casual walk-ins through the Member Portal will be visible on ClassPass.
Ensure the relevant booking option is enabled in each of your class pages within Settings > Bookings and Classes > Classes > Edit Class.
Setting a Fixed Price has no effect on ClassPass members, as payments will always be sorted on ClassPass' end. Bookings originating from ClassPass will always be made in GymMaster at $0.
Note differences in booking restrictions with ClassPass
GymMaster allows for multiple booking restrictions, but not all of these can transferred to ClassPass.
Age
ClassPass is an 18+ service, but has no other restrictions.ClassPass has no options for age-restrictions for the bookings.
If you have any senior classes (65+) or specific age ranges (18-24), these cannot be enforced automatically. You should state any age restrictions clearly in the class name to avoid confusion.
Terms of Service / Waivers
ClassPass has their own advice for these, but usually you just need to put in the class description to show up 20 minutes early to their first session to sign any required Terms of Service / Waivers. You can record these under their profile in GymMaster, so after the first session they can come in as normal.
Max Book Ahead
ClassPass's maximum book ahead period is 2 weeks, so the members can never book too far in advance. If you set your limit in GymMaster lower (say 3 days) ClassPass will enforce that limit. Setting it higher (3 weeks) with have no effect in the ClassPass app.
How do I set up new class types?
If your new class has the same credit price as your Baseline price in ClassPass, there's nothing special you need to do. Just set up the new Class Type in GymMaster, and start scheduling them in. Please note it may take up to 24 hours for the new classes to appear in ClassPass.
If your new class has a different credit price, the new setup can take about a week. You will need to take the follow steps:
- Set up the new class type in GymMaster.
- Book the first class at least 3 weeks from today.
- Contact ClassPass, and give them the class name and time for the first booking.
- Agree on a credit price with ClassPass and sign the forms.
Once that is done, you can go back and start scheduling the classes as normal. The placeholder class made in step 2. can also be freely deleted.
The GymMaster Class descriptions are automatically exported to ClassPass, but the images are not. Since GymMaster app/portal has a different recommended aspect ratio/size for images we don't export images to ClassPass. We recommend uploading images directly via your ClassPass dashboard to get the best control over what users will see in their app.
