By default, GymMaster requires a membership for door access. You can instead configure doors to allow entry based on bookings alone, including for non-members. This setup can allow non-members to enter the gym for a class booking, and can be used to control access to specific rooms only when they align with the timing of a booking that has been made.
How It Works
Access is granted when:
A visitor has a booking on a resource linked to that door
The booking falls within the configured access window
A valid access method is assigned
If the there is no booking or it's outside the time window, the space cannot be entered.
Club Setup
1. Configure the Door
Go to: Settings > Doors & Readers > Edit (selected door)
Under Associated Resources:
Select the Facility or Staff resources that should trigger access
Choose the Resource Behaviour:
Bookings Required: Only visitors with a booking can enter (members included).
Booking Access: Visitors with a booking can enter, even without a membership. Members with memberships remain unaffected.
2. Set the Access Window
Define how early or late someone can enter (e.g. 10 minutes before start).
This controls traffic and prevents early entry or lingering.
Let’s say you want both visitors and members to gain access to your facility when they have a booking in the Spin Room, but prevent members from accessing this room without a booking within the time frame;
Associated Resource : Spin Room
Bookings Required: Only visitors with a booking can enter (members included).
Access Window : 10 minutes before the booking begins
This is useful for managing flow in and out of rooms, ensuring people only enter close to their session time and don't linger afterwards.
Casual / Non-member access
To allow non-members to make casual bookings go to Settings > Member Portal > Bookings > Enable non-members to book online
Use your current access method for your casual visitors; remembering they can only use this access method within the defined access window;
- Bluetooth: Enable: Settings > Advanced Configuration > General > Assign a Bluetooth Access Token when booking. Requires casual members to download the GymMaster Member App
- Key Fob: Requires a Key Fob to be manually allocated on first visit
- QR Code: Requires casual members to download the GymMaster Member App
Passcode: Requires casual members to download the GymMaster Member App (to access passcode)
