If a member no longer wishes to continue — maybe they’re moving away, can’t afford it anymore, or simply finished up — you can cancel their membership quickly through their profile.
Here’s how to do it and what to watch out for:
1. Navigate to the Membership Tab
Go to the member’s profile and click into their Membership tab.
Find the membership you wish to cancel and hit the [Cancel] button next to it.
You’ll see a screen similar to this:
2. What to Consider Before Confirming
When cancelling, you’ll want to pay attention to a few key details:
Reason for cancellation
Select the reason so it shows up properly in your reports.Minimum term
If there’s a minimum term on the membership, it may limit which cancellation dates you can pick.
There’s a tick box you can use if you wish to override the minimum term restriction.Cancellation date
Choose the date you wish the cancellation to take effect.Future billing
Usually, you don’t need to disable future billing. As long as all billing is squared away after the cancellation date, you’re good.Prorating
If you wish, you can prorate the cancellation. This adjusts charges based on the cancellation date, so the member only pays for what they’ve used.Cancellation fee
If you wish to charge a cancellation fee, you can add it here too.
3. Confirm the Cancellation
Once everything looks right, click [Confirm] to lock it in.
Erasing a Membership
If the membership was added by mistake — and hasn’t been paid for or used — you can use the [Erase Membership] button instead.
This wipes the membership and any related charges completely, like it was never there.
Example: Member in Credit
In the example shown, because the cancellation was prorated, and the member had already paid for a full year but only used a few months, they’re now left with a significant credit which will need to be addressed
